Your ID and driver's license, booking details, payment card, and the documents a rental legally requires. Nothing more than the rental needs.

Why we use it

To run your rental: verify you can drive, process payment and deposit, coordinate the airport shuttle, and handle tolls, tickets or claims if they happen.

Vehicle GPS

Our vehicles may carry GPS/telematics. We don't watch you drive — data is only pulled for theft, overdue returns, geographic limits or accidents.

Tolls & tickets

Florida tolls are electronic. Toll authorities and processors receive the plate and rental dates to bill tolls; violations are forwarded as the law requires.

No selling, no ad tracking

We never sell your personal information and our site runs no third-party advertising trackers.

Who we are & what this covers

Clubs Car Rental ("CCR", "we", "us") is a car rental company operating in Florida, USA, with offices serving Miami International Airport, Fort Lauderdale–Hollywood International Airport and Orlando International Airport.

This policy explains how we handle personal information when you visit clubsrentalcar.com, book or rent a vehicle, ride our courtesy shuttle, contact us by phone, email, WhatsApp or the contact form on our site, schedule a video call, or subscribe to our emails. It applies to renters, additional drivers and website visitors.

By using our services you agree to the practices described here. If you add an additional driver or carry passengers, you are responsible for letting them know that vehicle data described in this policy is collected during the rental.

Information we collect

Identity & driver qualification — name, date of birth, driver's license (number, issuing country/state, expiration, and a copy or scan), and, for licenses not in English or Spanish, an International Driving Permit. We use age only to confirm eligibility (21+) and the young-driver bracket (21–24).

Booking & rental — pickup and return locations and dates, vehicle class and plate, rental agreement number, add-ons and protections you select, and shuttle pickup coordination details.

Payment — payment card type, cardholder name, billing details and transaction history. Card numbers are handled by our payment provider — at the counter through its terminal, and online inside payment components the provider hosts and controls — and we do not store full card numbers on our systems.

Vehicle & trip data — our vehicles may record odometer, fuel level, diagnostics and, where equipped, GPS location and event data (see the telematics section below).

Tolls, tickets & incidents — toll transactions, traffic or parking violations linked to the vehicle during your rental, and, if an incident occurs, damage photos, accident reports and related insurance information.

Communications — messages and call notes when you contact us by phone, email, WhatsApp or the website contact form (your name, email address, topic and message), and scheduling details if you book a video call through our booking provider.

How we use your information

  • Provide the rental: confirm your reservation, verify driver eligibility, prepare the agreement and hand over the vehicle.
  • Process payments, security deposits and refunds.
  • Coordinate the free airport shuttle — we use your flight/arrival details only to pick you up.
  • Bill and process tolls, and respond to traffic or parking violations issued during your rental.
  • Protect the fleet: locate vehicles reported stolen, significantly overdue, or driven outside permitted areas.
  • Handle accidents, damage claims and insurance matters.
  • Answer your questions and provide customer support in English or Spanish.
  • Send you deals and travel tips only if you subscribed — every email includes an unsubscribe link.
  • Comply with laws, respond to lawful requests, prevent fraud, and enforce our rental agreement.

We do not use your personal information for automated decision-making that produces legal effects, and we do not sell it to anyone.

Vehicle GPS & telematics

Some or all of our vehicles are equipped with GPS devices and/or event data recorders installed by us or by the vehicle manufacturer. Where present, these systems may be active at all times during the rental, even when in-vehicle media is off.

We do not monitor your location in real time as you drive. Location and event data is accessed only when there is a specific reason: a vehicle reported stolen; a return significantly overdue; suspected use outside the permitted geographic area stated in your rental agreement; a serious accident; or a lawful request from authorities.

Event data recorders may capture information such as speed, braking and impact data around a collision. This data may be used to investigate incidents and support insurance claims.

If you connect your phone to the vehicle (Bluetooth, USB, CarPlay/Android Auto), the vehicle may store contacts, call logs or location history on its infotainment system. Please delete your data from the vehicle menu before returning it — we also clear paired-device lists as part of vehicle preparation, but we cannot guarantee the manufacturer's system retains nothing.

You are responsible for informing additional drivers and passengers that the vehicle collects this data.

Tolls, tickets & violations

Florida highways use electronic tolling (SunPass / toll-by-plate); many toll roads have no cash option. When the vehicle passes a toll, the toll authority photographs the plate and bills the vehicle owner — us.

To process tolls, we and our toll-processing partner receive and share the vehicle plate, toll location/time and your rental dates, and we match them to your rental agreement to bill the toll plus any service fee disclosed in your agreement. Exact toll rates and fees are always itemized on your receipt.

If a traffic, red-light, speeding or parking violation is issued to the vehicle during your rental period, we are legally required to identify the renter to the issuing authority, and we may transfer liability to you and/or charge the fine plus the administrative fee stated in your rental agreement.

Who we share information with

We share personal information only with parties that help us run the rental, and never for their own advertising:

  • Payment processors — to charge cards and manage deposits securely.
  • Toll authorities and toll-processing partners — to bill tolls incurred during your rental.
  • Government authorities, courts and law enforcement — for violations, lawful requests, or when required by law.
  • Insurers, claims administrators and repair shops — when there is an accident, damage or a claim.
  • Communication and scheduling providers — to deliver emails you subscribed to, WhatsApp/SMS messages you initiate, and video calls you book.
  • Transactional email provider (Resend) — when you complete a booking on this website, we use Resend, acting as our processor under a data processing agreement, to deliver two messages: your booking confirmation, sent to the email address you gave us, and an operational copy sent to our own staff so they can record and fulfil the booking. It receives the booking and contact details you entered and the quote you were shown, processes them in the United States only to deliver those messages on our instructions, and does not use them for its own purposes; it never receives your full card number, driver's license number or insurance policy number. We send you the confirmation because you booked with us — it is not marketing, and there is no marketing in it. We also use Resend, under the same agreement and the same limits, to deliver the messages you send us through the contact form on this site: your name, email address, chosen topic and the message itself are delivered to our operations inbox so that we can read and answer you.
  • Online payment provider (Stripe) — when a booking offers "Pay now" and you choose it, Stripe provides the payment infrastructure embedded in our checkout. Stripe's payment library runs in your browser, and your card or wallet details are entered into components Stripe hosts and controls rather than into any field of ours, so those details never pass through our systems. Stripe receives the payment and transaction data it needs, together with browser, device and network information it uses to process the payment, authenticate you where your bank requires it, and prevent fraud; for those purposes it may use cookies and similar technologies, described in our Cookie Policy. From our own servers we send Stripe only the amount and currency we certified, an opaque reference to your booking, and three operational details — the pick-up office code, the local pick-up time and the number of billable days. We do not send your name, email address, phone number, residency, driver's license number or insurance details. If you choose to pay with crypto, Stripe takes you to its own crypto payment surface to connect your wallet and choose a currency and network, and then returns you to our site; that selection happens with Stripe, we never hold your wallet or any private key, and we do not custody crypto at any point. Stripe acts as our processor when it processes the payment on our instructions and, as its own published terms set out, as an independent controller for its own necessary purposes — including fraud monitoring and prevention, security, legal and regulatory compliance, and operating and improving its services.
  • Database provider (Neon, a Databricks company) — when a booking offers "Pay now" and you choose it, we record the booking details needed to complete your reservation in a managed database while the payment is being completed, so the reservation survives even if your browser closes. It holds your name, contact details, driver-qualification answers, trip details and, if you rent on your own policy, your insurer and its expiry date. It also holds the price your booking was quoted at and a reference number for the payment attempt. It holds no card data, no driver's license number, no insurance policy number and no record of amounts actually charged or refunded. Data is encrypted at rest, and the provider processes it on our behalf under its data-processing terms.
  • Professional advisors (lawyers, accountants, auditors) — under confidentiality obligations.
  • A buyer or successor — if our business is sold or reorganized, your data transfers with the same protections.

We do not sell or rent personal information, and we do not share it with data brokers or third-party advertising networks.

Cookies & website analytics

Our website sets no cookies of its own and uses no local storage of its own: your language preference lives in the page address (/en, /es) and your booking selection travels in the page URL from search to checkout — nothing of ours is stored on your device.

We do not run third-party advertising cookies or cross-site trackers. If we adopt privacy-respecting analytics to understand aggregate site usage, it will not be used to identify you or to build advertising profiles.

Embedded third-party services — the map on our locations section, the video-call scheduler, and, where online payment is offered and you use it, the payment fields — may set their own technical cookies and browser storage when you interact with them, governed by their own privacy policies. Our payment provider documents its use of these technologies for payment functionality, authentication, security and fraud prevention, and states that the resulting fraud-detection data is never used for advertising and is not sold, rented or given to advertisers.

You can block cookies in your browser; nothing of ours depends on them, although an embedded service you choose to use — including online payment — may not work if you do. See our Cookie Policy for the complete picture.

Security logging: when your browser blocks a resource that violates our Content Security Policy, it sends a short technical report to our own website — the page path, the blocked resource and the rule that stopped it. We use these reports only to spot broken or unsafe resources and fix configuration problems. They are written to our hosting provider's runtime logs, are not used for advertising or behavioural analytics, set no cookie and use no local or session storage. We do not record your IP address or browser identifier with them, and we strip query strings from the addresses they contain.

Hosting: this website is served by Vercel, our hosting provider, which processes the technical data any web server needs to deliver pages to you and to keep the service running.

How long we keep information

Rental agreements, invoices and transaction records — up to 7 years, as required for tax, accounting and legal purposes.

Online booking attempts — while you pay online we hold the booking details needed to complete your reservation. We delete them about thirty days after the attempt, and a little later in the uncommon case where the payment or the booking completed close to that point. If a payment you started is still being settled by our payment provider when that time arrives, we keep only what is needed to complete or resolve it, and delete it once it is resolved.

Accident, damage and claims files — for the duration of the claim and any legal limitation periods that follow.

Telematics event data — only as long as needed for the purpose it was accessed for (e.g., a claim or investigation); routine location data not tied to an incident is not retained.

Marketing subscriptions — until you unsubscribe; we then keep only the minimum needed to honor your opt-out.

Website/technical data — for short rolling periods used for security and troubleshooting.

Messages you send us — enquiries sent through the contact form, and the replies to them, are kept for as long as we need them to answer you and to keep a record of the enquiry, and are deleted when that is no longer the case. If a message becomes part of a booking, a claim or a dispute, it is kept for that record's period instead.

When retention ends, we delete or irreversibly anonymize the data.

How we protect information

We apply reasonable administrative, technical and physical safeguards consistent with the Florida Information Protection Act (FIPA): encryption of data in transit, access limited to staff who need it, secure disposal of documents, and vetting of the service providers listed above.

Payment card data is handled by PCI-compliant processors; full card numbers never touch our systems.

No system is 100% secure. If a breach affecting your personal information occurs, we will notify you and the relevant authorities as Florida law requires.

Your rights & choices

Wherever you live, you can always ask us to: access a copy of the personal information we hold about you; correct inaccurate information; delete information we are not legally required to keep; and stop marketing emails (or just use the unsubscribe link).

Note on deletion: rental, payment, toll and claims records must be kept for the legal periods described in the retention section — we will tell you exactly what can and cannot be deleted and why.

US state privacy laws — if you reside in a state with a consumer privacy law (e.g., California, Colorado, Virginia, Texas), you may have additional rights such as data portability and the right to opt out of "sales" or "sharing". We do not sell or share personal information as those laws define it, and we honor applicable rights requests and browser opt-out preference signals where required.

Visitors from the EEA/UK — we process your data to perform the rental contract, to comply with legal obligations, and for our legitimate interests in protecting our fleet; marketing is consent-based. You additionally have the rights to object, to restrict processing, to data portability, and to lodge a complaint with your local supervisory authority.

To exercise any right, email info@clubsenterprise.com from the address linked to your booking (we may ask for verification). We respond within 30–45 days depending on the applicable law, and we will never treat you differently for exercising your rights.

Children

Our services are for adults: renters and additional drivers must be at least 21 years old. Our website is not directed to children and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

International visitors

We operate in the United States and process and store information on servers located in the US. If you visit or book from another country, your information is transferred to the US, where privacy laws may differ from your home country's. We apply the safeguards in this policy to all customers regardless of residence.

Changes to this policy

We review this policy at least every 12 months and update it when our practices change. The "Last updated" date at the top always reflects the current version. For material changes, we will post a notice on this page — and, where required, tell you directly — before the change takes effect.
